Getting started

How do I add my first property?

Tap the Properties tab, then tap the + button. Enter a name, address, property type, and timezone. A default “Main” unit is created automatically.

How do I add more units?

Open a property, then tap the + icon next to “Units”. Each unit can have its own tenant contact details.

Inspection workflow

How do I log an inspection?

  1. Go to the Inspections tab and tap +, or tap New Inspection from a unit detail screen.
  2. Select a property and unit.
  3. Choose an inspection type — the checklist is pre-populated based on your region.
  4. Mark each item as Pass, Fail, or N/A. Add photos and notes as needed.
  5. Set the overall result, certificate reference, and expiry date.
  6. Capture the inspector’s signature.
  7. Tap Save to complete the inspection.

What inspection types are available?

  • Gas Safety — Boiler, pipework, ventilation (UK/US)
  • Electrical (EICR) — Consumer unit, circuits, RCDs (UK/US)
  • Smoke & CO Alarms — Per-room checks, batteries, expiry (UK/US)
  • General / Periodic — Common items checklist, fully editable
  • Custom — Start with a blank checklist

Can I edit the checklist?

Yes. For General and Custom inspections, you can add, rename, and remove checklist items. For standard types (Gas, Electrical, Smoke & CO), the pre-populated items can be edited inline.

PDF export

How do I generate a PDF?

Open an inspection, tap the  menu, and select Generate PDF. The report includes the checklist, photos, inspector details, certificate reference, and signature.

How do I send the PDF to a tenant?

If the unit has a tenant email address, the  menu will show a Send to Tenant option that opens a pre-filled email with the PDF attached.

Backup & restore

How do I create a backup?

Go to Settings → Full Backup (includes photos) or Data Only Backup (smaller file). Share the file to Files, iCloud Drive, email, or any other destination.

How do I restore from a backup?

Go to Settings → Restore from Backup and select a .tenantpad file. A pre-restore backup is created automatically.

Will I lose my photos during an app update?

No. Photos are stored in the app’s persistent documents directory, which survives app updates.

Push notifications

How do reminders work?

When you set an expiry date on an inspection, TenantPad schedules local push notifications at 30, 14, and 7 days before the expiry date.

I’m not receiving notifications

Check that notifications are enabled for TenantPad in iOS Settings. You can also tap Enable Reminders in the app’s Settings screen to go directly to iOS notification settings.

Troubleshooting

The app is stuck on the splash screen

Force-quit the app and reopen it. If the issue persists, reinstall the app and restore from a backup.

Photos are missing after a restore

This can happen if you restored from a “Data Only” backup. Photos are only included in “Full Backup” files. Missing photos will show a placeholder.
